Project Administrator
Managing daily administrative functions of a project or program.
Process invoices, change orders and purchase orders
Prepare documentation, and back up for RFS, RFM, Bid Waivers, CAT, ECCOS, Bid Comparison and Ariba.
Route all required documents for approvals
Confirm and print ISNetworld recommendations.
Submit to Procurement.
Liaising with other department professionals, project managers and vendors to define outcomes and timelines of requisitions or invoices.
Advised project management on matters requiring escalation.
Coordinating meetings.
Providing daily support to project team as directed by management.
Assist with weekly reports, distribution of reports and perform daily action reports for project management.
Assist Project Managers when needed with budgeting and regular reporting.
Have general knowledge of Microsoft Word, Excel, and Outlook.
Ordered and maintain supplies for offices on site. This includes ordering and keeping inventory for PPE required by our inspectors and safety team, along with basic necessities.
Maintaining the office utilities, i.e., water, trailer rental, waste control, janitorial service, and cleaning – supplies, etc.
Maintained the office equipment, printers, computers, etc.
The candidate will be reporting to the main office for the first 3 to 4 months and then they will report to the project site. The site is located at the terminals, so please make sure the candidate has a TWIC card. See the work schedule below. (If candidate doesn’t have a TWIC, contracting agency will work with Contractor to obtain the TWIC, via reimbursement).
Work schedule is a 9/80 with every other Friday off. Report to the office Monday thru Wednesday then Thursday and Friday work them from home, except the Friday’s off. Length of assignment, approximately 2 years.
