What to expect:
The Executive Assistant supports the Executive Director and the Board of Directors. This position provides executive and administrative support to the Executive Director, CWB Welding Foundation in all areas including board secretary, meeting planning and implementation, scheduling details, as well as drafting, processing and editing reports, and has primary responsibility for accounting and financial reporting and administration, for gift documentation, processing, and financial records. This includes:

Primary liaison and corporate secretarial duties on behalf of board members, Foundation Executive Director and management.

Prepare and manage documentation and ensure information is timely and accurate.

Written work for internal and external communication; memos, presentations, reports.

Communications

Process and submit expenses

File and organize paper and electronic documents, such as emails, reports, and other administrative records

Program and General Administration

Time Management

In this position, you will report to the Executive Director, CWB Welding Foundation and will work out of your home office, travel might be required from time to time. CWB is adopting a remote-first working model, where employees will work from their home office, servicing the client within their specified areas either remotely or in person. We are embracing radical flexibility, where employees are encouraged to work a schedule that works best for them, their team, and their clients.

What you bring to the table:
Board material preparation and reporting experience (presentations, document management, minutes)

Administration, communication, interpersonal skills, time management

Previous experience as an Executive Assistant supporting senior management

Proficiency in Microsoft office software (Office, Word, Excel, Visio, PowerPoint)

Excellent people skills, including experience working with cross departmental teams

Outstanding communication skills, presentation, written, verbal, listening, and influencing others

Strong customer relationship acumen, comfortable interacting with all levels of an organization, including the “C” level

Not-for-profit, sales and marketing, business administration to include not for profit, accounting, advancement services, digital and database management

Stakeholder relationship management/project management studies

Financial accounting and bookkeeping course

Diploma or degree in Business Administration or Foundations of Not for Profit Organizations program completion an asset

Professional training in corporate governance an asset

Bilingualism in English and French is an asset.

Valid Driver’s License and access to a vehicle.

ADDITIONAL REQUIREMENTS

  • This is a remote, work from home position with the requirement to go to the Milton, ON office approximately every bi-weekly
  • Travel might be required from time to time
